Booking Terms and Conditions

     1. Booking

To make a booking, please contact Hajj Limited for requirements and availability. Your booking must be accompanied by a payment of a non-refundable deposit of £1,000 per traveller, in which you will then receive a confirmation invoice.

   2. Payments

The balance of the payments must be settled in full to Hajj Limited two months prior departure date. Payments may be made by bank transfer or cheque (provided there is time to clear a cheque), payable to Hajj ltd. Failing to make full payments by the due date will be considered as a cancelation on your behalf, and therefore a cancelation charge will be applied (please refer to section 10 for cancellation charges).

  3. Visa

To be granted a Hajj Visa, full payments must be made. Hajj Limited has a service, which allows them to apply for a Visa on your behalf via the Saudi Embassy. The Visa applications are subject to regulations set by the Saudi Ministry of Hajj, and these regulations are subject to change without prior notice. Hajj Limited cannot be held liable for any refusal or delays in obtaining your Visa.

It normally takes 4-6 weeks to process a Hajj Visa. All pilgrims must supply the following documents along with full payments, 8 weeks prior to departure date in order to process your Hajj visa:

    1)     Passport (valid for at least 6 months prior to departure)

    2)    Pilgrim must not have travelled to perform Hajj within the past 5 years (to attach old passport)

    3)    2 recent passport sized photos for non British passport holders

    4)    Valid Meningitis immunization (ACWY) certificate

    5)    Birth Certificates/Marriage certificates need to be submitted with passports as proof of relationship status for women/children with a Mahram

    6)    Individuals who carry European passports must provide proof of residency in the United Kingdom (documents such as utility bills or bank statements, which show address details)

    7)    Individuals who do not carry British/European passports and who reside in the United Kingdom must provide valid original documents of Leave to Remain indicating that the individual            has been residing in the United Kingdom for at least one year. They must also state their nationality in accordance with what is specified on their travel documents

You will normally receive your visa along with your passport at least one week prior to departure date

  4. Flight and Luggage

Hajj Limited has no control of flight delays or cancellations and cannot be held liable for this.

It is your responsibility to check your air tickets and other documents immediately upon receipt. If any details are incorrect, you must advise Hajj Limited immediately.

You are solely responsible for all travel documents to be present before you travel. It is at your own risk if you miss your flight.

All luggage and personal belongings are at your own responsibility, loss or excess weight of luggage is to be discussed between you and the airline.

The airlines have their own terms and conditions. You are responsible to comply with any airline terms and conditions.

Hajj Limited reserves the right in its absolute discretion to cancel or re-route the original flight plans/arrangements. Hajj Limited also has the right to cancel, change or amend planned arrangements to your pilgrimage in exceptional circumstances where necessary. Most of these changes will be minor and Hajj Limited will advise you of them at the earliest possible date.

Please Note: there will be overcrowding at the airport, due to many pilgrims travelling at the same time during the Hajj season, therefore delays are inevitable during check in. Hajj Limited recommends you check in 4 hours prior departure time.

5. Altering your Booking

If you wish to alter any arrangements after Hajj Limited confirms your booking, you must write to Hajj Limited immediately, Hajj Limited will try to make every effort to arrange any changes you request. However, you will be asked to pay an administration charge and any further cost Hajj Limited incur in making this alteration. You should be aware that these costs could increase the closer you are to your departure date.

Certain arrangements may not be changeable after a reservation has been made. Any alterations or arrangements are subject to availability.

Occasionally, Hajj Limited may have to make changes to your original booking and Hajj Limited reserve the right to do so at any time. Where Hajj Limited are acting as an Agent, Hajj Limited cannot accept any liability or costs incurred that may result from these changes. Most of these changes will be minor and Hajj Limited will advise you of them at the earliest possible date.

Hajj Limited will not pay you compensation if we have to cancel or change your travel arrangements in any way because of unusual or extenuating circumstances beyond Hajj Limited’s control.

6.  Hady

The price for the Hady is not included in the package. Hajj Limited arrange the Hady through an experienced and trusted organisation on your behalf, with a charge of £70-80 (exact price will be confirmed in Makkah). However, if you wish, you can arrange for someone else to do the slaughter on your behalf once you arrive in Makkah.

7. Hotels and Accommodation

All rooms are based on shared accommodation. Booking of double, triple or quadruple rooms as referred to on the booking form, applies to the hotels you will be stopping at in Makkah and Madinah. The Star ratings of the hotels are according to the Saudi Ministry of Trade standards.

7.1   Upon arrival to Makkah, you will be stopping for a few days in a standard apartment-Azyzia/Jabal Al Noor in Makkah. The room sharing will be 4-6 person per room. Men and women will be separated but in the same building.

7.2  During your stay in Mina and Arafat, you will be accommodated in air- conditioned tents provided by the Hajj Ministry for use by European pilgrims. There are no tents in Muzdalifah; it is advised to bring your own sleeping bag. During the 5 days of Hajj, the Mutawwif (official division of the Ministry of Hajj)has full control of accommodation in Mina, Arafat and Muzdalifah. Hajj Limited is not liable for the quality and services at these points.

Maintenance and local energy conservation measures may mean that certain facilities such as air conditioning, electricity and water supplies may be limited, however this is rare. Hajj Limited has no control over the maintenance of the Hotels, but will make sure you get the best service possible.

8.  Meals in Accommodation

Breakfast and dinner will be provided in the Hotels (no lunch). Food supplied will be in the form of an open buffet for both breakfast and dinner.

8.1  During your stay in the standard accommodation – Azyzia/Jabal Al Noor in Makkah, Hajj Limited will provide Breakfast only.

8.2 During the 5 days of Hajj, the Mutawwif takes control of the meals. Hajj Limited has no control over the nature of the food they provide. However, Hajj Limited will be in contact with the Mutawwif office to deliver the meals at the right times. Due to hygiene, all meals will be packed and served in individual portions.

9.  Ground Transport

Ground transport is fully controlled by the Saudi Authority. The Naqaba (governing body of many transport companies) provide the coaches.  Neither Hajj Limited nor Mutawwif have control over public transport in Saudia Arabia. Due to the crowd of pilgrims entering Saudia Arabia simultaneously, the timing and quality of transport is beyond Hajj Limited’s control. However, all efforts will be made to ensure things run smoothly.

9.1  During the 5 days of Hajj, transport is organised exclusively by the Mutawwif and Naqaba appointed by the Ministry of Hajj. Hajj Limited has no control as to what time the coaches will pick up and drop off the pilgrims to certain destinations (Mina, Arafat, Muzdalifah). Please take into consideration that there will roughly be 4million pilgrims all travelling at the same time to the same destination, therefore delays are inevitable, your patience will be appreciated. Hajj Limited will do its best to provide you with the best possible service.

It is your responsibility to ensure that you are at any meeting points at the relevant time.

10. Cancellation

Should you wish to cancel a booking under reasonable grounds, you must notify Hajj Limited in writing, signed and dated. There will be a fixed charge of £500 if a cancellation is made any time before three months of departure date. Since Hajj Limited incur costs in cancelling your travel arrangements, you will have to pay the applicable cancellation charges.

Cancellations will be subject to a levied charge relative to the date of departure.

The following charges will apply from the date Hajj Limited receives the written notification:

If you decide to cancel your booking once your air ticket is issued there will be an extra cancelation charge imposed by the airline.

11. Extenuating Circumstances

Hajj Limited is not liable to pay compensation where changes occur beyond their control. These include changes caused by reason of war, threat of war, riot, civil strife, terrorist activity, industrial dispute, airport closure, technical problems with transport, machinery or equipment, power failure, natural or nuclear disaster, fire, epidemic, flood, drought, unavoidable technical problems with transport, and adverse weather conditions.

12.  Health and Safety

Although the authorities of Saudi Arabia do an excellent job in ensuring your Hajj experience is as easy as possible, the pilgrimage itself is quite demanding and involves quite a lot of physical exertion. It is always best to perform Hajj when in generally good physical conditions. If you require regular prescribed medication then you should take adequate supplies with you, along with a doctor’s certificate for these.

With the vast number of pilgrims, performing Hajj all at one time there is a risk of viruses and airborne diseases. It is your own responsibility of your wellbeing. You must acknowledge there may be elements of risk with Hajj pilgrimage. These include overcrowding, poor management of public places and in some cases injury or illness. You must try to take care of your own safety.

Health services are free as provided by the Saudi authorities. However, Hajj Limited cannot be held responsible of any natural occurring illnesses and deaths. Hajj Limited does not offer any travel/health insurance.

In case of death, the deceased is buried according to the regulations of Saudi Arabia and repatriation of the body is not possible.

You must be aware that Saudi Arabia is not subject to the same health and safety regulations as the United Kingdom.

13. Individual Responsibility

This is your Hajj! You are performing an act of worship. You are responsible to the call. You must try to perform Hajj to the very best of your ability. Your intention to perform this act is very important. It is your responsibility to comply with all instructions given by Hajj Limited.

You are requested to abide by the times appointed by your group leader.

14.  Complaints

If you incur any problems during your trip, it is essential that you bring them to Hajj Limited’s attention immediately, to give them a chance to investigate and rectify the problem. If however, Hajj Limited cannot resolve the problem immediately, you must write to Hajj Limited within 28 days of your return.
